The successful candidates will join as HR Services Coordinator in the Human Resources Department. (S)He will lead and support the unit as well as all employees with HR administrative tasks. This will include but is not limited to maintaining employment-related details on HR activities such as recruitment, leave administration, promotions/transfers and termination.
Key Responsibilities
Conduct and lead onboarding/induction sessions and processes and ensure all requirements for the end-to-end process are met.
Fully responsible for the employee background verification process for all FTEs and National Service Personnel; this will include verification related to; medicals, educational certificates, former employers, criminal background checks, etc.
Manage and maintain an effective filing system in the department and ensure files are up to date and follow internal regulations and policies
Assist with the renewal of work & residence permits for expatriates
Respond and assist with employment references for ex-employees
Relationship management with external partners, i.e., partners for canteen services, HR-related vendors, etc.
Coordinate arrangements for bereaved employees in conjunction with departmental SPOCs
Ensure the following letters are produced, signed, and distributed upon request and per deadlines/requirement
Visa invitation letters
Letters of condolence & condolence benefits
Notification letters to banks after exiting of employees with facilities
Probation & confirmation of FTEs
Follow up on requests raised via oracle on Purchase requests and other related requests.
Facilitate the process (in conjunction with the Supply Chain Management dept) for employee canteen services.
Administer stationary stock control within the Human Resource department.
Coordinate and organise engagement activities for National Service Personnel
Assist with the monthly set-up and maintenance of employee details on the HR database
Ensure access deletion and tracking by liaising with internal stakeholders to guarantee compliance of the approved process
The exit management process for FTCs and NSPs
Manage and update the following trackers and ensure reports are sent as per scheduled and agreed timelines:
Gift declaration tracker - quarterly reports to the Ethics & Compliance unit
Infosec access review for staff - joiners & exits – monthly
Contract expiration tracking - monthly
Produce ad-hoc reports to support business decisions when required
Liaise with HR Business Partners monthly to align on organisational charts/ headcounts of all departments
Assist in the drafting of adverts, screening candidates and drawing up shortlists.
Schedule interviews and prepare interview evaluations.
Coordinate candidate assessments and interviews and track applications for all roles
Ensure proper tracking of all HR ops & recruitment KPIs
Prepare interview summaries and reports post interviews
- Ensure new and existing employees’ details are entered on the Employee Inventory System
- Ensure the Staff list and A-Z list are updated with changes weekly
- Keep an updated record of Job title changes, redesignations etc
- Preparation of introductory letters for employees

Required Qualification and Experience
A Bachelor’s degree in any field
Minimum of two (2) years of relevant work experience preferably in a similar role or in a people-centred environment.
Good understanding of Human Resource functions and best practices.
Good user of Microsoft Excel and PowerPoint
Must be a customer-focused person with a passion for Human Resource Management
Ability to engage in meaningful negotiation and resolution
