Job Title: Office Manager

PAMA House Ministries (Bolgatanga, UER) is seeking an Office Manager/Administrative Assistant to organize and coordinate administrative duties and office procedures. Your role is to create and maintain a pleasant work environment, ensure high levels of organizational effectiveness, communication, and safety. The Office Manager is responsible for the organization and maintenance of all day-to-day office operations and procedures while providing direct support to the Directors.
Duties include but are not limited to the following:
● Oversee and support all administrative duties and special projects in the office and ensure that the office is operating smoothly.
● Provide Executive administrative support as necessary, including scheduling meetings, maintaining calendars, arranging travel, and creating reports.
● Provide assistance to field workers with record keeping and planning events.
● Work closely with departments, making the Directors aware of issues and/or concerns.
● Social Media management
● Maintain office calendar, schedule staff meetings, and coordinate events
● Monitor, manage and maintain office equipment and supplies; request repair or restocking when necessary.
● Produce reports as required.
● Uses and understands Microsoft Office and is willing to be trained on other business-specific software.
● Answers incoming internal and external calls and provides customer service
● Other duties as assigned
Skills
● Experience with typing and budgeting.
● Knowledge of office administrator responsibilities, systems and procedures
● Proficiency in MS Office (MS Word, MS Excel and MS Outlook in particular) and Google applications.
● Hands on experience with office machines (e.g. scanners and printers)
● Excellent time management skills and ability to multitask and prioritize work
● Extreme attention to detail and excellent problem solving skills
● Excellent written and verbal communication skills
● Strong organizational and event planning skills
● A creative mind with an ability to suggest improvements
● High School degree; Bachelors preferred.
Schedule: Tuesdays - Fridays : 9:00am to 4:30pm. Will include some brief Saturday field visits.
Pay: Starting salary of GHs700.00
Physical Requirements
While performing the duties of this job, the employee may be required to stand, walk, and sit. The employee must occasionally lift and/or move up to 6 kgs. There will be local travel required and some weekend work.
