Facilities Officer

Purpose of the job:
· The incumbent will report to the Property Manager.
· Carry out daily inspection of assigned buildings and reports to management for action and supervises all work as well as technicians assigned to the building to carry out repair or maintenance works.
· Assist in the development of manual logs and registers for all buildings, assists and liaises with Sales & Marketing team in conducting potential clients round the property and drawing/executing an onboarding process for all new occupants in the building (both owners & tenants)
Key responsibilities:
· Effective management of all relations and communications between the company and all clients (owners, tenants, visitors, and contractors)
· Assist in the rental of all available units by working closely with the Sales & Marketing team.
· Co-ordinate with the Property Manager to supervise all works going on within the building / facility.
· Ensure all issues presented by tenants are forwarded to your line manager / management for immediate action.
· Comply with local safety requirements for the building including facility inspections and security on the premises.
· Create budgets for all expenditures.
· Explore ways to reduce cost to management where possible.
· Creation of a procurement list for all items and works undertaking by the company and regularly updating them each month.
· Proper scheduling of works on the premises (both external and internal) with the owners/tenants and the contractor undertaking the works. All agreements must be documented, and a circular / notification sent at least 48hours before the commencement of the works.
· Effective supervision of all works to be undertaken in all assigned buildings.
Qualifications:
· An HND/Diploma in Facilities Management, Building Technology, Project Management, or a related field of study.
Experience:
· Two (2) to three (3) years relevant working experience in a similar role
· Knowledgeable in plumbing, electricals, repairs, and maintenance
· Knowledgeable in the use of Microsoft Office Suite
