Role Description


The Front Office Coordinator is responsible for managing the daily operations of the front desk. ensuring smooth communication, and providing administrative support to various departments. The candidate must possess excellent organizational, communication, and customer service skills to provide a welcoming environment for all.


Key Responsibilities:


  • Greet and assist visitors, clients, and employees in a courteous and professional manner.
  • Direct visitors to the appropriate personnel or departments, ensuring accurate check-in/ check-out procedures.
  • Handle incoming phone calls, emails, and inquiries, providing information or forwarding to relevant departments.
  • Maintain a friendly and approachable demeanor while representing the company.
  • Schedule and coordinate appointments, meetings, and conference room bookings.
  • Assist with preparing and organizing office documents, reports, and presentations.
    Maintain office supplies inventory and assist with procurement when necessary.
    Provide visitors with necessary information
  • Coordinate and assist with the arrival and departure of guests or clients.
  • Maintain the cleanliness and organization of the front office area, ensuring a professional and welcoming atmosphere.
  • Receive, sort, and distribute incoming mail and packages.
  • Prepare outgoing mail and packages, ensuring proper labeling and dispatch
  • Coordinate logistics for meetings, events, or travel arrangements as required.
  • Ensure proper setup of meeting rooms and facilities, including arranging necessary equipment
  • Assist with any administrative tasks for the various departments as needed.
  • Perform other ad-hoc tasks as required to support daily office operations


Requirements:


  • Bachelor's degree in business administration, communications, or a related field preferred.
  • Experience in a front desk or administrative support role is a plus.
  • Strong communication and interpersonal skills.
  • Proficiency in office software (e.g.. Microsoft Office Suite, email platforms).
  • Excellent organizational and multitasking abilities.
  • Friendly, approachable, and professional demeanor.
  • Detail-oriented and proactive.
  • Ability to work independently as well as part of a team.
